Data controller

The data controller for personal data processed through RentScout PH is Green Twilight Ltd., a company registered in England and Wales. "RentScout", "RentScout PH", and "RentScout.ph" are trading names of Green Twilight Ltd.

What we collect and our lawful basis

We process personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as well as the Philippine Data Privacy Act of 2012 (RA 10173). The lawful bases for our processing are:

  • Contract performance – processing necessary to provide the Service to you (account management, search functionality, favourites, subscriptions)
  • Legitimate interests – anonymous analytics to improve the Service, error monitoring, and fraud prevention
  • Consent – sharing your contact details with landlords/agents when you voluntarily submit lead information

Account data

When you create an account via Google sign-in or email, we store your name, email address, and profile picture (if provided by Google). For email sign-ups, your password is hashed and never stored in plain text.

Usage data

When you browse listings, we collect anonymous usage analytics (pages visited, search queries, feature usage) to improve the Service. We also collect error and performance data via Sentry to diagnose technical issues. This data does not identify you personally.

Payment data

Payments are processed by PayMongo. We do not store your full card numbers or e-wallet credentials. We receive transaction confirmations including the amount paid, payment method type, and a transaction reference ID.

Contact information for leads

When you interact with a listing (e.g. clicking a landlord's Facebook link, phone number, or sending an inquiry), we may ask you to provide contact details such as your name, email address, and phone number. Providing this information is voluntary.

Logged-in users: your contact details are stored in your user profile on our servers and are associated with your account. You can view and edit this information at any time from your dashboard.

Visitors without an account: your contact details are stored locally in your browser (via localStorage) so you do not have to re-enter them on each visit. This data stays on your device and is not sent to our servers unless you interact with a listing, at which point it is stored alongside the interaction record.

Contact details attached to lead interactions are visible to landlords, agents, and property owners whose listings you interacted with, so they can follow up with you about the property. We do not share your contact information with any other third parties, or use it for marketing purposes.

Data from Facebook groups

RentScout aggregates publicly available posts from Facebook groups. This includes post text, images, timestamps, and any contact information the original poster chose to include in their public post. We do not access private messages, private groups, or any data that is not publicly visible.

Listing photos are cached on our servers to ensure reliable display. These images remain the property of the original posters and are removed when the associated listing is deactivated or upon request.

How we use your data

  • To provide and improve the RentScout service
  • To save your favourite listings and search preferences
  • To send notifications about new listings matching your saved searches (if enabled)
  • To process payments for subscriptions and purchases via PayMongo
  • To share your contact details with landlords and agents whose listings you interact with, so they can reach you about properties you're interested in

International data transfers

Green Twilight Ltd. is based in the United Kingdom. The Service is primarily aimed at users in the Philippines. Your personal data may be transferred to and processed in:

  • United Kingdom – where Green Twilight Ltd. is established
  • United States – where our hosting providers (Vercel, Supabase) operate
  • Philippines – where PayMongo processes payments

Where data is transferred outside the UK, we rely on adequacy decisions or standard contractual clauses (as applicable) to ensure appropriate safeguards. For transfers involving Philippine personal information, we comply with the requirements of the Data Privacy Act of 2012 and its implementing rules.

Data retention

We retain your account data for as long as your account is active. Lead interaction records are retained for up to 24 months after creation, unless you request earlier deletion. Anonymous analytics data is retained in aggregate form indefinitely.

Payment records are retained as required by UK tax and accounting regulations (typically 6 years).

Cookies and local storage

We use essential cookies for authentication and session management. We use anonymous analytics cookies to understand how the Service is used. We do not use advertising cookies or sell data to advertisers.

We also use your browser's localStorage to remember contact details and prompt preferences for visitors without an account. You can clear this data at any time through your browser settings.

Third-party services

  • Supabase – database and authentication hosting (US)
  • Vercel – application hosting (US)
  • Google – OAuth sign-in provider (US)
  • PayMongo – payment processing (Philippines)
  • Sentry – error monitoring (US)
  • Google Ads / Analytics – advertising and traffic measurement (US)

Each third-party service has its own privacy policy governing their handling of your data.

Your rights

Under UK GDPR

If you are in the United Kingdom, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Erase your personal data ("right to be forgotten")
  • Restrict or object to processing
  • Data portability (receive your data in a structured format)
  • Withdraw consent at any time (where processing is based on consent)
  • Lodge a complaint with the Information Commissioner's Office (ICO)

Under the Philippine Data Privacy Act

If you are in the Philippines, you have the right to:

  • Be informed about the collection and processing of your data
  • Access your personal data
  • Object to processing
  • Erasure or blocking of data
  • Rectification of inaccurate data
  • Data portability
  • Lodge a complaint with the National Privacy Commission (NPC)

To exercise any of these rights, contact us at admin@rentscout.ph. We will respond within 30 days.

Data removal

If you are a landlord or original poster and want your listing removed from RentScout, you can use the β€œRequest Removal” button on any listing page to submit a removal request. Alternatively, email us at admin@rentscout.ph. We will process removal requests within 7 days.

To delete your account and all associated data (including contact details and lead interaction history), visit the Account settings page in your dashboard. You can also email us at the address above and we will process your request within 7 days.

If you submitted contact details as a visitor without an account, you can clear your locally stored data through your browser settings. To request removal of any lead interaction records stored on our servers, email us at admin@rentscout.ph.

Children's privacy

The Service is not directed at children under 18. We do not knowingly collect personal data from anyone under 18. If you believe we have collected data from a minor, please contact us and we will promptly delete it.

Changes to this policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated date. If we make material changes, we will notify you by email or a prominent notice on the Service.
